Three things, from three different moments.

• When you ask for a survey. Your name, phone number, email, how you prefer to be contacted, the city and state the pond is in, and whatever you tell us about the water: rough size, age, depth, whether it has aeration or a feeder, whether it has been stocked, what you want out of it and what is worrying you. You choose how much of that to fill in. Only the name, phone and email are required.
• When you become a customer. The record of the work: your ponds and where they are, survey readings, the fish measured, photographs taken at the pond, the reports written for you, the prices quoted, what you approved or declined and any note you left with that decision, messages you send through a report, and a signature if you sign for completed work at the pond.
• When you sign in. Your email address, and the sign-in itself. Sign-in is by a one-time link sent to your email, or through Google if you choose that. We never see or store a password.

Worth stating plainly, because most policies you read do the opposite.

• No advertising, and nothing here is sold or rented to anyone.
• No analytics scripts, tracking pixels, or third-party cookies. The only cookie set is the one that keeps you signed in.
• No location tracking of you. Pond coordinates are recorded because the crew has to find the pond; your device's location is never read.
• No profiling, and no automated decision that affects you is made without a person reviewing it.

Report drafts are assembled by software from the survey readings and from previous reports written by our own biologists. Nothing about you or your pond is sent to an outside AI service. Every draft is read, edited and approved by a biologist before it reaches you, and the report itself says so.

Running the service means a handful of companies hold the data on our behalf. Each is a processor: they store or transmit it so the site works, and they are not permitted to use it for their own purposes.

• Supabase stores the database, the photographs and the sign-in system.
• Vercel serves the website itself.
• Google only if you choose to sign in with a Google account, in which case Google confirms to us that the account is yours and tells us its email address.
• OpenStreetMap supplies the map tiles on the staff map screens. Loading a map sends the request to their servers, which means your network address reaches them. This does not happen on the customer portal.

Beyond that, information is disclosed only if the law requires it, or if you ask us to send it somewhere.

Access is enforced by the database itself, not only by the screens. A customer account can read its own ponds, its own approved reports and its own photographs, and nothing belonging to anyone else. Staff at Fisher Farms can see the customers of Fisher Farms. A draft report is not visible to you until a biologist approves and issues it.

Survey history is the point of the service. A pond compared against its own past readings is worth more than a single snapshot, so records of work are kept for as long as you are a customer, and afterwards as part of the business record.

A survey request that never becomes a customer is kept while it is being followed up and can be deleted on request.

• Ask for a copy of what is held about you.
• Ask for something to be corrected.
• Ask for your account and its records to be deleted, subject to records we are required to keep, such as invoices.
• Withdraw a survey request at any point before work starts.

Contact us through the details on your report or quote and we will handle it. Deleting your account signs you out and removes your access to the portal.

This service is for landowners and is not directed at children. We do not knowingly collect information from anyone under 13.

Everything travels over an encrypted connection and is stored encrypted. Photographs sit in a private store and are served through links that expire. Sign-in is by one-time link or Google, so there is no password of yours for anyone to steal from us. No system is perfect, and we will tell you promptly if something involving your information goes wrong.

If this changes, the date at the top changes with it. A change that materially affects what happens to your information will be told to you directly rather than left here to be discovered.
